Project Manager, Product Operations

Location: New York City Mid-Town ERB Office

(ERB staff are working from home during the pandemic)

Reports To: Dual reporting line to the Chief Program Officer and Chief Technology Officer

ERB (Educational Records Bureau) is a not-for-profit organization providing admission and achievement assessments as well as instructional services for PreK through Grade 12. For over 90 years, and with nearly 2,000 member schools and districts across the United States and internationally, ERB continues to be a trusted source to inform admission decisions and to support curriculum and instruction.
Position Summary
The Project Manager, Product Operations is responsible for organizing and managing day-to-day operations and projects for the product and technology teams.  This person also serves as a key liaison between all of the internal and external teams responsible for technology, marketing, operations, and development work.  This position plays an important role in organizing ERB work according to well-defined project management and product development processes.
Major Responsibilities
The major responsibilities include project management and product management duties, specifically:
  • Manage ERB projects. Create timelines, scope deliverables, identify resources, manage dependencies, analyze risks and blockers, and generally keep members of the ERB team informed. Define new and existing process workflows as needed.
  • Maintain annual program work plans. Ensure that ERB and vendor deliverables for program operations meet ERB specifications, are delivered on time, and do not exceed contractual terms without senior management consultation. Identify any potential slippage early and either remediate or escalate to senior management.
  • From time to time, participate directly in user acceptance testing.
  • Run regular meetings with vendors and ERB team members to manage vendor scope, provide status updates, surface issues, and establish open lines of communication. Document and communicate the outcomes of these meetings to all impacted stakeholders.
  • Assist the Chief Technology Officer with operational tasks (e.g., inventory management, invoice reconciliation, printing review updates, and vendor approvals).
  • Become an expert in the program features, policies, publications, and related details of ERB programs, as well as the systems (e.g., Jira, Teamwork, internal systems, vendor systems) used to support day-to-day operations.
  • Work through the backlog of feature requests to ensure that enhancements are defined, built, and delivered during scheduled releases.
  • Organize design sessions that produce feature requirements and/or prototypes; ensure that session results are well-documented and communicated.
Ideal Experience
The ideal candidate has experience with an understanding of project management and product management principles and best practices, as well as:
  • A Bachelor’s degree, additional education and certifications preferred
  • A background in industrial engineering, information systems, and/or process management desirable
  • Project Management Professional certification desirable
  • High energy and self-motivated attitude
  • Experience working in the context of K-12 private, independent, or parochial schools a plus
  • Experience with standardized testing design and development a plus
  • At least 1-5 years relevant work experience
  • Excellent organizational skills, with attention to detail
  • Strong written and oral communication skills
  • Ability to prioritize tasks and work effectively with minimal supervision
  • Ability to communicate with co-workers and business contacts in a courteous and professional manner
  • Ability to work efficiently under pressure and meet deadlines, while maintaining courtesy and professionalism
  • Flexibility and strong commitment to getting the job done
  • Ethical conduct in all things
